Organizing your Email

If you're like most people, you receive alot of Email.  Much of it is "spam", or unwanted junk, and you can automatically delete it without even reading it.  To find out how, just click on the "blocking spam" button up above.

But what if you also regularly receive Email messages that you don't necessarily want to read, but that you also want to save.  If you keep them in your "inbox", it will eventually get so full that you can't find anything in there without doing searches.  You may have created special folders for "jokes", "family", or whatever, and you manually drag and drop messages into these folders.  Wouldn't it be great if this could happen automatically?  Well, it can.  Just to show that you never stop learning, I found this neat little feature of Microsoft's Outlook Express recently. 

For this example, let's say that you want to have Microsoft's Outlook Express automatically store messages from your family in a folder called "Family".  Go about it this way:

  1. Create the folder "Family".  Do this by clicking on "Local Folders" on the left side of your screen, then "File" (top left), "New", "Folder", then type "Family" in the box and click on "OK".
  2. Click on "Message" at the top of the screen, then "Create Rule from Message".  The "New Mail Rule" window is displayed.
  3. The top 1/3 of the window sets the conditions for the rule.  Click on "Where the To line contains people".
  4. Go to the middle 1/3 and click the box "Move it to the specified folder".
  5. Now, the bottom 1/3 of the window contains the rule "Where the from line
    contains abcde@fghijk.net move it to the specified folder.   Click on the
    "contains abcde@fghijk.net " and enter the name of a family member AS IT APPEARS ON THEIR EMAIL MESSAGE TO YOU.  Then click on "
    specified" and enter the folder name "Family".
  6. Voila, you're done!

You can also have messages with the word "joke" in the subject line automatically go into a Joke folder, or delete certain types of messages right off your ISP's server, or forward them to another person,  automatically reply to a messgage, or any number of actions.  This is definitely one of Microsoft's better ideas!
